Inventory Management System for Warehouse Stock Control
A Laravel inventory management system for tracking warehouse and department stock, transactions, low-stock alerts, and operational reports.
Overview
I built an internal inventory management system for controlling item stock across warehouses and departments. The application centralizes stock movements, item data, user access, alerts, imports, and operational reporting.
Problem
Inventory operations required a reliable way to track quantities across multiple locations while preserving transaction history. The system also needed to distinguish between inbound, transfer, usage, and adjustment activities, identify low-stock items, and provide readable management reports.
Solution
I developed a role-based Laravel application that maintains current stock for each item and location. Every stock change is recorded as a transaction, while configurable minimum-stock thresholds generate warehouse and department warnings.
The application also provides searchable item selection, responsive interfaces, Excel-based bulk imports, and filtered Excel and PDF reports.
Key Features
- Admin and staff authentication with active-account validation
- Item codes, specifications, units, and Local or Import sourcing
- Separate quantities and minimum-stock thresholds for warehouses and departments
- Inbound, transfer, usage, and stock adjustment workflows
- Adjustment history and transaction audit records
- Configurable low-stock and out-of-stock warnings
- Independent pagination for dashboard warning lists
- Monthly Usage calculated from dated usage transactions
- Month and year selection for Monthly Usage
- Searchable item selection with four visible results
- Excel item import with preview, validation, and confirmation
- Documented Excel import templates
- Filtered transaction, shortage, and item stock status reports
- Styled Excel and PDF exports with quantity data
- Administrative transaction log deletion by date range
- Safe deletion rules for items, locations, and users
- Responsive desktop and mobile layouts
Technical Implementation
The application uses Laravel 13, PHP 8.3+, MySQL, Blade, Tailwind CSS, Vite, and Lucide Icons.
Stock mutations are handled through a centralized service using database transactions and row-level locking with lockForUpdate(). This protects quantity updates during concurrent inbound, transfer, usage, and adjustment operations.
Monthly Usage is calculated from transaction records instead of being stored as a static item value. Database indexes support common item, location, transaction type, and date queries.
Native XLSX processing supports Excel import and export. The custom PDF and Excel report generators provide formatted tables, grid lines, text wrapping, dynamic row heights, filters, and readable quantity data.
Production deployment includes:
- Optimized PHP dependencies
- Prebuilt frontend assets
- MySQL-backed sessions and cache
- Production environment templates
- Database migrations
- CloudPanel deployment documentation
- Automated deployment checks
Security controls include:
- Role-based middleware
- Active-user validation
- Strong password requirements
- CSRF protection
- Security response headers
- Production-safe environment settings
- Restrictions on deleting records with protected transaction history
Challenges
Maintaining Stock Consistency
Stock movements affect multiple records and locations. I used database transactions and row-level locking to prevent inconsistent quantities during concurrent operations.
Calculating Historical Monthly Usage
Monthly Usage needed to remain accurate when users selected different months and years. It is calculated from dated usage transactions rather than stored as a fixed item value.
Spreadsheet Package Compatibility
The requested Laravel Excel package was not compatible with the Laravel 13 and PHP environment used by the project. I implemented native XLSX processing to preserve the required import and export workflows.
Exporting Long Content
Long item names and specifications required PDF text wrapping, dynamic table rows, carefully sized Excel columns, and responsive layouts to prevent clipped or unreadable content.
Result
The project delivers a complete inventory workflow for item registration, warehouse and department stock control, inbound stock, stock transfers, department usage, stock adjustments, low-stock warnings, Excel imports, management reporting, and transaction history.
Critical authorization, stock, import, export, deletion, and reporting workflows are covered by automated feature tests and a verified production build.
